RecUmi Measure

Not publicly released

A measurement goes straight into the workflow, not onto a scrap of paper in the measurer's car.

RecUmi Measure is a standalone product of the RecUmi ecosystem for companies that visit a site before calculation and installation: gates and doors, windows, custom furniture, renovation, equipment installation. The measurer records dimensions, parameters and photos from a phone, and the office receives them at once. The product is in development: there are no dates and no download button yet.

The logic of measurements — assignment, the measurer working from a phone, photos, the move to a quote — was tested in the internal system of the company Time Rec and is being carried over into a separate product.

Measurement · opening 1 2,400 mm2,100 mm + photo ✓ width and height ✓ opening type ! depth is required → to the office at once → calculation and quote
Concept of a future measurer's screen. Planned capability.

Who it is for and why

A mistake in a measurement costs the most: a wrong figure turns into a wrong calculation, a wrong order and a repeat visit. Measure makes a measurement complete and checkable: mandatory parameters cannot be skipped, photos are not lost, and the result is immediately visible to those who calculate and prepare the quote. For the measurer on site and the dispatcher who assigns them. Measure works on its own: assignment, photos, results. It is linked with other products like this: a measurement request can be taken from RecUmi CRM, and a quote is prepared in RecUmi Docs from the measurement result.

Measurer

Opens an assigned measurement on the phone, enters dimensions following prompts and attaches photos.

Manager and estimator

Receive the measurement right after the visit and prepare the calculation without calls asking “what is the height there?”.

Head of the team

Sees how many measurements are assigned, done and waiting for calculation.

Different industries

Gates and doors, windows, furniture, stretch ceilings, renovation, equipment installation — each has its own forms.

Dispatcher

Assigns and reassigns measurers, returns a wrongly closed status.

What RecUmi Measure will be able to do

Implemented, in testing the feature is implemented in a test or internal version and has not yet been made available to users as a finished public product Planned designed, development ahead

Assigning a measurement

Implemented, in testing

A measurement request gets an address, a time and a measurer.

How it is used
A measurement can be created from a customer's request in RecUmi CRM or separately.
What data
Address, contact, time, assignee.
Benefit
The measurer knows where and to whom they are going, without forwarding messages.

The measurer working from a phone

Implemented, in testing

The measurer opens their measurements on the phone and fills them in on site.

Benefit
The result is not copied from paper, so there are no mistakes in transfer.

Forms for your work

Planned

A set of fields for the type of site: opening, window, kitchen, room. Units of measurement and prompts.

How it is used
Mandatory parameters cannot be skipped: the measurement will not be sent until they are filled in.
Benefit
A complete measurement the first time — no repeat visit.

Photos from the site

Implemented, in testing

Pictures of the opening, joints and features of the site right in the measurement.

How it is used
Photos are tied to the measurement and to the request.
Benefit
The estimator sees what the measurer saw.

Sketch and notes

Planned

A simple sketch with dimensions and the measurer's comments on tricky places.

Benefit
Fewer questions during calculation and installation.

Checking and statuses

Implemented, in testing

A measurement goes through statuses; a status can be returned if a measurement was closed by mistake, and the result can be reconciled.

How it is used
The correction of a wrong status is kept in the history.
Benefit
It is clear which measurements are ready for calculation.

From measurement to calculation and quote

Implemented, in testing

From a measurement you can move to a quote in RecUmi Docs without retyping the dimensions.

How it is used
The whole path from request to a sent quote is still being tested.
Benefit
The quote is ready on the day of the measurement.

Working offline

Planned

A measurement can be filled in even where there is no internet and is sent when a connection appears.

Benefit
A basement, a new-build or the countryside is no obstacle.

Measurers' access

Planned

Measurers' permissions on customer data are set by the company.

How it is used
Permissions will be set through the shared RecUmi Core foundation.

Measurement reports

Planned

How many measurements are assigned, done and turned into quotes — by measurer and period.

Benefit
The manager sees the workload and the result.

Reassigning a measurer

Implemented, in testing

The assignee of a measurement can be changed after assignment.

Benefit
A measurement is not lost if the measurer is busy or ill.

Installation details inside a measurement

Implemented, in testing

A measurement stores the installation date, its state and a comment.

Benefit
The measurement and the installation are in one card.

Service details inside a measurement

Implemented, in testing

A measurement stores the date, the problem, what was done and the amount.

Benefit
The history of work at a site is not lost.

Payment for a measurement

Implemented, in testing

A measurement records the contract amount and how much has been paid.

Benefit
You can see what has been paid for each site.

Recycle bin and restoring measurements

Implemented, in testing

A deleted measurement can be restored.

Benefit
An accidental deletion is not a loss.

"Before" and "after" photos as marked stages

Planned

"Before" and "after" photographs are marked as stages of the work. Photographs are published only with the customer's confirmed permission.

Benefit
Order and clarity for photographs.

How it will work

The path of a measurement — from request to quote.

  1. 1. RequestThe customer wants a calculation — a measurement is needed
  2. 2. AssignmentAddress, time, measurer
  3. 3. VisitDimensions by form and photos on the phone
  4. 4. CheckMandatory parameters filled in
  5. 5. CalculationThe measurement data is with the estimator
  6. 6. QuoteA document in RecUmi Docs

The whole path is a planned capability; the “Request” and “Quote” steps are connected with RecUmi CRM and RecUmi Docs.

Scenarios

TodayThe measurer wrote the dimensions in a notebook and forgot the depth of the reveals — a repeat visit is needed.
With RecUmiMandatory parameters do not let an incomplete measurement be sent — no repeat visit is needed.
Gates and doors
TodayThe kitchen photos are on the measurer's phone; the estimator gets them in the evening in a messenger.
With RecUmiPhotos and dimensions reach the estimator right after the visit.
Furniture
TodayThe manager does not know how many of the week's measurements turned into quotes.
With RecUmiA report shows measurements by measurer and how many of them became quotes.
Manager
TodayThe measurer fell ill, and the measurement is already scheduled for tomorrow.
With RecUmiThe dispatcher reassigns the measurer - the customer is not left without a visit.
Reassignment · in testing
TodayA measurement was closed by mistake - it cannot be returned, so it has to be created again.
With RecUmiThe status is returned, the result is reconciled; the history is kept.
Wrong status · in testing
TodayThe contract amount, payment, installation and service are recorded in different places.
With RecUmiInstallation, service and payment details for a measurement are stored in the measurement itself.
One site - one card · in testing
How it works now

How it works in practice

Important. These actions are implemented and verified in the internal system of the company Time Rec; in the separate RecUmi Measure product they have not yet been released to users. This is a description of how the function works, not a user guide.

A measurement from assignment to result

  1. The dispatcher assigns a measurement and an assignee; reassigns if necessary.
  2. The measurer opens the measurement in the phone's browser - a separate app is not needed.
  3. Attaches photos: they are tied to the measurement and to the request.
  4. Enters the results; installation, service and payment details are stored in the measurement.
  5. A wrongly closed measurement is returned.
  6. The move to a commercial quote in RecUmi Docs - in testing, the whole path is still being tested.

Links with other products

  • CRM → Measure: a measurement for a request (in testing).
  • Measure → Docs: a quote from the measurement result (in testing).
  • Working without a connection, forms and sketches, a measurement certificate, reports - planned.

Part of the ecosystem

Measure works on its own, and together with other products it becomes a link in the path “contact → measurement → quote → contract → installation”.

  1. CRMRequest and customer
  2. MeasureDimensions, parameters, photos
  3. DocsQuote and contract
  4. ServiceInstallation and work history

Planned Links between Measure and CRM, Docs and Service will appear together with the release of the products and the shared RecUmi Core foundation.
