Commercial quotes from a template
Implemented, in testingA quote is assembled from a template, the customer's data and catalogue items.
- How it is used
- You choose the customer and the items — prices and totals are filled in automatically.
- What data
- Customer, items, prices, terms.
- Benefit
- A quote in minutes and without mistakes in the totals.
Contracts from templates
Implemented, in testingContracts for supply, installation or supply with installation — from approved templates.
- How it is used
- Terms and the parties' data are filled in from the customer card and your company's details.
- Benefit
- Every contract is based on the current template.
Catalogue of goods and work
Implemented, in testingA reference list of items with prices, from which quotes and specifications are assembled.
- Benefit
- Prices change in one place, not in every file.
Your company's details, stamp and signature
PlannedThe details and the stamp and signature images will belong to your company and be inserted into its documents.
- How it is used
- These are images in the document, not an electronic digital signature. Setting up your own details is a planned capability.
- Benefit
- The document is ready to print and send straight away.
DOCX and PDF format
Implemented, in testingThe finished document comes in formats for editing and for sending to the customer.
- How it is used
- The PDF is created on the server; if the first conversion after start-up does not finish in time, you get a DOCX with a clear reason - not an empty file.
- Benefit
- You can edit it by hand or send it right away.
Continuous numbering
Implemented, in testingQuote and contract numbers are assigned automatically, without a log in a spreadsheet.
- How it is used
- A document without a number is not created: instead of an empty file, you get a refusal with a reason.
Document history per customer
PlannedAll of the customer's quotes and contracts — in their card, with dates and versions.
- Benefit
- You can see at once what the customer received and which version is current.
A document without a deal
Implemented, in testingA document can be created from scratch, without a mandatory deal in CRM.
- Benefit
- Docs is useful without other products too.
Invoices and completion certificates
PlannedInvoices and certificates of completed work — in the same way, from the same data.
- Benefit
- The whole cycle of documents from quote to certificate in one place.
Preview
Implemented, in testingA document can be viewed before it is issued.
- How it is used
- Specifications and approval inside the company are planned capabilities.
- Benefit
- Mistakes are visible before it is sent to the customer.
Three kinds of contracts
Implemented, in testingA supply contract, an installation contract and a supply-with-installation contract - from templates that come with the program.
- How it is used
- Items are carried over from the quote; the number is continuous; the stamp and signature are already in the document.
- Benefit
- Acceptance terms, liability of the parties and payment procedure are already in the template.
Public links for the customer
Implemented, in testingThe customer receives a link to the document; no account is needed.
- How it is used
- Each issued link is a separate record with its own expiry; one link can be revoked without breaking the others.
- Benefit
- Forwarded it on - revoke it, and the document no longer opens.
Document life cycle
Implemented, in testingFor every document you can see who created it, who sent it and who voided it - and for what reason.
- How it is used
- A voided document does not disappear: the author and the reason remain.
- Benefit
- Disputed situations are settled on facts.
Snapshot of details in the document
Implemented, in testingThe recipient's details are saved inside the document.
- Benefit
- The document prints the same even after the customer has been renamed.
Filling in details by BIN
Implemented, in testingThe name and details are pulled from the state register of taxpayers by BIN.
- How it is used
- This is a separate employee permission and requires access to be connected. Until access is connected, the program honestly says "the integration is not yet activated" rather than returning an empty result.
- Benefit
- Less manual entry and fewer mistakes in the details.
A refusal instead of a spoiled document
Implemented, in testingIf the print file is unusable or the document has no number, the document is not issued - you get a clear error with the reason.
- Benefit
- A spoiled or incomplete document does not go to the customer.
Recycle bin and restoring documents
Implemented, in testingDeleting a document is not final: it can be restored.
- Benefit
- An accidental deletion is not a loss.
Stamp and signature in the document
Implemented, in testingThe stamp and signature images are embedded in the body of the document; integrity is checked.
- How it is used
- For now the program holds the details, stamp and signature of one company; your own details are a planned capability. These are images, not an electronic digital signature.
- Benefit
- The document is ready to print at once.
Invoice for payment and power of attorney
PlannedInvoice: the recipient and their details, items, amount, payment deadline, purpose of payment, continuous number, PDF. Power of attorney: employee, authority, validity period, signatory.
- How it is used
- These are new templates for the mechanism that already works and issues quotes and contracts; a second generator is not needed. Passport data comes from the employee directory, not from speech.
- Benefit
- The cycle of documents does not end at the contract.
Certificates, specifications, tax invoice and delivery notes
PlannedA completion certificate (scope of work, amount, signatures of the parties) and a specification to the contract (a list with characteristics) are planned.
- How it is used
- A tax invoice and delivery notes were mentioned, but the concept is not defined: an idea, needs confirmation.
Electronic digital signature
Idea, discussed earlier but not yet approved for developmentAn electronic digital signature was discussed as an idea.
- How it is used
- It has not gone beyond an idea; we do not promise it. The stamp and signature in a document are images.
